This policy explains what we do with personal data when you use Spirit vCards, and what rights you have over it.
Who is responsible for your data
The Spiritual Agency is the data controller for the personal data described in this policy. We are registered in England and Wales under company number 13216970, at 71-75 Shelton Street, Covent Garden, London, United Kingdom. You can reach us about anything in this policy at vcards@the.spiritual.agency.
What we collect
- Account details you give us, such as your name, email address and telephone number.
- The content you publish on your cards, including any images you upload.
- Records of your plan and your payment history. We do not see or store your card number, which is handled by our payment provider.
- Technical and usage data, such as your IP address, browser and device type, the pages you visit and the times you visit them.
- Analytics about visits to your published cards, where your plan includes that feature.
Why we use it, and our lawful basis
- To create your account and provide the service, because it is necessary to perform our contract with you.
- To take payment and keep accounting records, to perform our contract and to meet our legal obligations.
- To answer your questions and give support, to perform our contract with you.
- To keep the service secure, prevent abuse and diagnose faults, for our legitimate interests in running a safe and working service.
- To send you occasional news about the service, only where you have consented. You can withdraw that consent at any time.
Enquiries collected through your cards
If someone fills in an enquiry form on one of your cards, that person data belongs to you. You are the controller of it and we process it only on your behalf and on your instructions. It is your responsibility to tell those people how you will use their details.
Who we share it with
We share personal data only with the suppliers we need to run the service, which include our hosting and infrastructure providers, our payment provider, our email delivery provider and our sign in provider. They act on our instructions and may not use your data for their own purposes. We may also disclose data where the law requires it. We do not sell personal data.
Where your data is held
Our systems are hosted in the United Kingdom and the European Economic Area. Where a supplier processes data outside those areas, we rely on the safeguards permitted by UK data protection law, such as an International Data Transfer Agreement or the equivalent standard clauses.
How long we keep it
We keep your account and card content while your account is open and for 30 days after it closes, then delete it. We keep records needed for accounting and tax for six years. Technical logs are kept for a short period and then deleted.
Your rights
Under UK data protection law you have the right to ask for a copy of your data, to have inaccurate data corrected, to have your data deleted, to restrict or object to how we use it, to receive it in a portable form, and to withdraw consent where we relied on it. To exercise any of these, email vcards@the.spiritual.agency. We will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner Office at ico.org.uk, or by telephone on 0303 123 1113. We would appreciate the chance to put things right first.
Cookies
We use cookies that are necessary to sign you in and keep your session secure, and cookies that help us understand how the service is used. You can block cookies in your browser, but parts of the service will not work if you block the necessary ones.
Children
Spirit vCards is a business tool intended for people aged 18 or over. We do not knowingly collect personal data from children. If you believe a child has given us their data, please contact us and we will delete it.
Changes to this policy
We may update this policy. We will post the revised version here and change the date at the top, and we will tell you by email if the change is significant.
